Key takeaways

  • The WhatsApp Business API (WhatsApp Business Platform) is Meta's programmatic access to WhatsApp for companies: multiple users, one number, automation and integrations.
  • The free WhatsApp Business app is for one person on one phone; the API is for teams, chatbots, CRM integration and volume.
  • Meta bills per delivered template message, by category (marketing, utility, authentication) and recipient country; replies inside the 24-hour customer service window follow their own rules.
  • Access goes through a Business Solution Provider. Inside Teloring, onboarding is a guided wizard and WhatsApp becomes one channel among thirteen.

What is the WhatsApp Business API?

The WhatsApp Business API, officially the WhatsApp Business Platform, is the interface Meta provides so that businesses can send and receive WhatsApp messages from their own software rather than from a phone. Where the consumer app and the free WhatsApp Business app are tied to one device, the API connects a business phone number to a platform: a shared inbox that many agents use at once, a CRM that records every conversation, automation that replies and routes, and AI agents that answer on their own.

The API has no interface of its own. Businesses use it through a customer communication platform such as Teloring, which connects to Meta through an authorised Business Solution Provider and presents WhatsApp as a channel next to email, phone, website chat and social media.

WhatsApp Business App vs WhatsApp Business API

The two products share a name and little else. The app is the right choice for a sole trader answering a handful of messages a day. The API is the right choice the moment more than one person needs to answer, or the moment WhatsApp has to talk to other systems.

How WhatsApp API pricing works

Meta's pricing has two layers. The first is what Meta itself charges. Since July 2025 Meta bills per delivered template message rather than per conversation, and the rate depends on the template's category (marketing, utility or authentication) and on the recipient's country. Utility and authentication messages unlock lower rates at higher monthly volumes.

The second layer is the platform you use, which typically charges a per-seat subscription and passes the message fees through. In Teloring, template messages are paid from your account's monthly credits, with clear quotas per plan and no hidden markup. Meta also offers a 72-hour free entry window for conversations that start from a Click-to-WhatsApp ad or a Facebook Page call-to-action button.

Because Meta's rate card changes, treat any published price as a snapshot and check the current rates for your country before forecasting. Meta has announced that from October 2026 free-form service replies inside the customer service window are also billed per message, at the utility rate. That change is worth factoring into support budgets.

Message templates and the 24-hour customer service window

WhatsApp protects its users from spam with two mechanisms every business must understand. The first is the 24-hour customer service window: when a customer messages you, a window opens in which your team can reply freely with text, images, documents, voice notes and locations. Each new customer message restarts the clock.

The second is the message template. To reach a customer outside that window, whether with a delivery update, an appointment reminder, a payment confirmation or a promotion, you must use a template that Meta has approved in advance. Templates can carry variables (the customer's name, an order number), a header image, video or document, and call-to-action or quick-reply buttons. Approval usually takes minutes to a day, and Meta classifies each template as marketing, utility or authentication for billing.

A good platform makes this invisible: it shows whether the window is open, offers the approved templates when it is not, fills the variables from the customer record and previews the message before it goes. Customers must have opted in to receive business messages. A form field, a checkbox at checkout or a WhatsApp conversation they started themselves all count.

What businesses do with the WhatsApp API

  • Customer service. A shared inbox where the whole support team answers one WhatsApp number, with the customer's history, notes and previous orders alongside the chat.
  • Sales and lead qualification. Answer product questions with photos and documents, send a quote as a PDF for digital signature, and record the deal in the CRM without leaving the conversation.
  • Appointments and reminders. Utility templates that confirm bookings, remind the day before and let the customer reschedule with a button.
  • Order and delivery updates. Confirmation, dispatch and delivery notifications customers actually read, with read receipts to prove it.
  • Authentication. One-time codes delivered on WhatsApp instead of SMS, at a lower cost in many countries.
  • AI chatbots. An AI agent on WhatsApp that greets, answers frequent questions from your knowledge base, collects details and hands off to a person when needed, around the clock.
  • Marketing. Opt-in promotional templates with images and buttons, sent to segments from your CRM, measured by delivery, reads and replies.

Requirements and how to get started

You need three things: a Meta Business account for your company, a phone number that is not currently registered on the consumer or Business app (or one you are willing to migrate), and a platform that connects you through a Business Solution Provider. From there the steps are short:

  • 1. Choose the platform. Decide where your team will actually work. If WhatsApp is one of several channels, choose an omnichannel inbox rather than a WhatsApp-only tool.
  • 2. Connect and verify the number. Meta sends a verification code by SMS or voice call; the platform completes the registration and creates the inbox.
  • 3. Complete Meta's business onboarding. Company details and, optionally, business verification for a higher messaging tier and the official business badge.
  • 4. Create templates. Start with the utility messages you send every day, such as confirmations, reminders and updates, and submit them for approval.
  • 5. Invite the team and set the rules. Roles, routing, working hours, saved replies, and an AI agent for first contact if you want one.
  • 6. Publish the number. Add a click-to-chat link and QR code to your website, email signature, invoices and social profiles.

WhatsApp API inside Teloring

In Teloring, WhatsApp is connected from My Ring in a guided wizard: verify the number by SMS or call, complete Meta's onboarding, and the inbox appears in the shared queue. You can connect several numbers, say one for sales, one for support and one for a second brand, and route each differently. Conversations show sent, delivered and read receipts, support replies, reactions, bold and italic formatting, images, video, voice notes, documents, locations and shared contacts, and the Template tab appears automatically when the 24-hour window has closed.

Every WhatsApp conversation is linked to a customer in the built-in CRM, can be picked up by an AI Agent or automated in Studio, and is reported in Analytics next to your other twelve channels. Template messages are paid from monthly credits, and the Free plan includes 200 credits to get started.

Frequently asked questions

Not if you use a platform. Teloring connects your number through a guided wizard with no code. A developer is only needed if you want to build your own integration, for which Teloring also offers a REST API and webhooks.

Meta charges per delivered template message by category and country, and has announced per-message billing for service replies inside the 24-hour window from October 2026. Platforms add a subscription. Teloring's Free plan includes one agent and 200 monthly credits, and template messages are paid from credits.

Yes. That is the main reason to move from the app to the API. In Teloring, any number of agents work the same WhatsApp inbox from a shared queue, with assignment, notes and AI assistance.

A company authorised by Meta to connect businesses to the WhatsApp Business Platform. Teloring connects your number through an authorised provider, so you get official Meta connectivity without managing the technical relationship yourself.

Yes, provided you migrate it off the consumer or Business app first, or use a dedicated business line. Landline numbers can also be registered, with verification by voice call.
